Filter Dashboard Data
Filter Dashboard Data
What This Is
Dashboard filters let you narrow the data displayed to specific groups of students, schools, grade levels, or time periods. Instead of viewing districtwide results, you can focus on particular segments to identify trends, compare performance across subgroups, or investigate specific areas.
Filters work on all charts and data tables in a dashboard simultaneously, updating the view instantly when you make a selection.
Why Filters Matter
Filtering helps you:
- Focus on the specific students or schools you're responsible for
- Compare performance across demographic groups to identify equity gaps
- Drill into data by timeframe (term, school year, semester)
- Create customized views without leaving the dashboard
Prerequisites
- You have access to a dashboard in Standard Education
- You have the appropriate role and permissions to view the dashboard's data
Common Filter Types
Different dashboards offer different filters based on available data. You may see filters for:
- School - Narrow to a single school or group of schools
- Grade - Filter by grade level (K-12)
- Race/Ethnicity - View data for specific racial or ethnic groups
- Gender - Filter by student gender
- Students with Disabilities (SWD) - Show only students receiving special education services
- Economically Disadvantaged (ED) - Show students who qualify for free or reduced lunch
- Term - Filter by semester, quarter, or trimester
- School Year - Select a specific academic year
- Teacher/Class - Narrow to a specific teacher's class or group
Not all dashboards have the same filters. The available filters depend on the dashboard type and the data sources connected to it.
How to Apply a Filter
Step 1: Locate the Filter Bar
At the top of your dashboard, look for the filter controls. These typically appear as a horizontal section above the dashboard content with labeled filter options.
Step 2: Select a Filter
Click on a filter name or dropdown. A menu will appear showing available values for that filter.
Step 3: Choose Your Value
Select one or more values from the list. Some filters allow single selection; others let you choose multiple values. The dashboard will update automatically when you make your selection.
Step 4: Verify the Results
All charts and data tables on the dashboard will refresh to show only data matching your filter criteria. Look for visual indicators or updated numbers to confirm the filter is active.
Applying Multiple Filters
You can apply several filters at once. They work together to narrow your view:
- Select School = Elementary
- Select Grade = 4th
- Select Term = Fall 2024
The dashboard now shows only 4th grade data from elementary schools for Fall 2024.
Start with broad filters and gradually narrow down. This helps you understand the data structure and ensures you don't filter out all results by accident.
How to Clear Filters
To remove a single filter, look for a clear or reset button within that filter control (often an X or trash icon), or select "All" or "Clear" from the filter's dropdown menu.
To reset all filters at once, look for a "Reset Filters" or "Clear All" button, typically located in the filter bar. This returns the dashboard to its default state.
Important Behaviors
Filters Affect All Cards Simultaneously
When you apply a filter, every chart, table, and metric on the dashboard updates at the same time. There's no need to apply filters individually to each visualization.
Filters Don't Persist on Navigation
Your filter selections apply only while you're viewing that specific dashboard. If you navigate to a different page or dashboard, your filters are reset. You'll need to reapply them if you return to the dashboard.
Some Dashboards Have Default Filters
Certain dashboards, like the SRSS dashboard, come with preset filter values already applied (for example, the current school year and term). You can change these defaults to view other time periods, but they reset to defaults when you leave and return to the dashboard.
Notes and Edge Cases
Empty Results
If your filter combination returns no data, you may see an empty chart or a message indicating no results match your criteria. Try broadening one of your filters to see more data.
Missing Filter Values
Some filter options might be grayed out or unavailable. This typically means no students match that combination of criteria in your district (for example, a specific grade level at a school that doesn't serve that grade).
Data Refresh Timing
Dashboard data updates on a schedule determined by your district. If you've recently uploaded new assessment or roster data, filters may not reflect the latest information immediately. Contact your administrator if you believe data is out of date.
Permission-Based Filtering
Your role determines which data you can see. A teacher might see filters for only their assigned class, while a school administrator might see filters for all schools in the district. Filters respect your access level and won't show data you're not authorized to view.
