How-To Guides

Export Dashboard Data

What This Is

Many dashboard tables support data export, allowing you to download the data you see into a file format you can use in spreadsheets, reports, or other tools. This is useful when you need to:

  • Perform offline analysis or custom calculations
  • Share specific data subsets with colleagues or administrators
  • Meet compliance reporting requirements
  • Create tailored reports for stakeholder meetings

Prerequisites

To export data from a dashboard, you'll need:

  • Access to the Standard Education platform with appropriate permissions for the dashboard you're viewing
  • A dashboard containing a data table (charts and visualizations cannot be exported)
  • Your district must have export functionality enabled for the data type you're accessing

How to Export Dashboard Data

Step 1: Navigate to Your Dashboard

Log in to Standard Education and open the dashboard containing the data you want to export. This could be an attendance dashboard, student performance view, or other analytics dashboard.

Before exporting, apply any filters to show only the data subset you need. You can filter by school, grade level, date range, student status, or other relevant fields depending on your dashboard.

For detailed guidance on filtering, see Filter Dashboard Data.

Apply filters before exporting to ensure your downloaded file contains only the data you need. This saves time compared to filtering the exported file later.

Step 3: Locate the Data Table

Find the table on your dashboard that contains the data you want to export. Data tables display information in rows and columns, distinct from charts, gauges, or other visual elements.

Step 4: Look for the Export Option

At the bottom or corner of the table card, look for a download icon or "Export" button. The exact location may vary slightly depending on your dashboard, but the option is typically available on table components.

Step 5: Select Your Format and Download

Click the export button or download icon. You'll typically be offered to download as CSV (comma-separated values) format, which is compatible with most spreadsheet applications like Excel or Google Sheets.

Click the option to download. Your browser will save the file to your computer's default downloads folder.

Expected Result

You'll receive a file (usually named based on the dashboard or table) containing:

  • All columns currently visible in the table
  • All rows matching your current filter selections
  • Data formatted in a spreadsheet-compatible format

The exported file reflects exactly what you see on screen at the time of export, including the effects of any filters you've applied.

Notes and Edge Cases

Filters Are Reflected in Your Export

The export includes only data that matches your current filter state. If you've filtered to show only middle school students, your export will contain only middle school data. If no filters are applied, the export may include all available data (subject to your permission level).

Charts and Visualizations Cannot Be Exported

Only data tables support direct export. Charts, bar graphs, pie charts, gauges, and other visual elements cannot be exported directly. However, the underlying data tables on the same dashboard usually can be exported.

Large Datasets May Take Time

Exports of very large datasets may take a few moments to generate. Your browser will notify you when the download is ready.

You See What You Export

Your exported file contains only data you have permission to view. If certain columns or student records are restricted based on your role, those restrictions apply to exports as well. You won't see hidden or permission-restricted data in your exported files.

Exported files may contain student personally identifiable information (PII). Handle exported data according to your district's data privacy policies and FERPA compliance requirements. Store exported files securely and only share with authorized staff.

Use Exports for Custom Reporting

Exports are particularly useful for:

  • Creating custom reports tailored to your needs
  • Sharing student lists with school-level staff members
  • Preparing data for external compliance submissions
  • Analyzing trends with additional calculations in a spreadsheet
