Track Screening Completion

What This Is

During each screening window (Fall, Winter, and Spring), teachers in your district complete SRSS screenings for their students. The SRSS Status dashboard gives you real-time visibility into completion progress—showing which teachers have finished their screenings and which still need to complete them.

This article walks you through accessing and interpreting the SRSS Status dashboard so you can monitor progress and take action when needed.

Prerequisites

Before you can track screening completion, you need:

  • An active screening window (Fall, Winter, or Spring)
  • Rosters uploaded for the current term. See Upload Rosters to learn how to upload or update your roster data.
  • A district administrator or school administrator role in your portal

Steps

1. Navigate to the SRSS section

Log into your portal and find the SRSS section. Depending on your role and district setup, you may see SRSS in your main navigation menu.

2. Open the SRSS Status dashboard

Look for the SRSS Status dashboard within the SRSS section. This dashboard is specifically designed for tracking teacher completion during screening windows.

3. Set the Term filter

At the top of the dashboard, you'll see filter options. Set the Term filter to the current screening window:

  • Fall for fall screenings
  • Winter for winter screenings
  • Spring for spring screenings

4. Set the School Year filter

Set the School Year filter to the current year. For example, if you're screening during the 2025-2026 school year, select 2025-2026.

5. Review the overall progress bar

The dashboard displays a progress bar showing the overall completion percentage for the selected term and year. This gives you a quick snapshot of how many teachers have completed their screenings district-wide (or school-wide, depending on your role).

6. Check the teacher completion table

Below the progress bar, you'll see a table listing all teachers with active rosters. The table shows:

  • Teacher name
  • School (if applicable)
  • Completion status (whether they've submitted all screenings for their assigned students)
  • Number of students assigned to them in the current roster

Use this table to identify which teachers have completed their screenings and which are still pending.

Expected Result

After following these steps, you should see:

  • A clear overview of completion progress for the current screening window
  • An overall completion percentage showing how much of the screening is done
  • A list of individual teachers showing their status (completed or pending)
  • The total number of students each teacher needs to screen

This gives you everything you need to monitor progress and identify which teachers need a reminder or follow-up.

Notes and Edge Cases

Teachers missing from the list

Teachers appear on the completion list based on your uploaded roster. If a teacher is missing from the list or their student count seems wrong, it usually means their data isn't in the current roster. To fix this:

  • Check your roster file to confirm the teacher and their assignments are included
  • Upload an updated roster through the roster uploader
  • Wait a few moments for the dashboard to refresh with the new data

Completion status updates with a delay

As teachers submit their screenings, the dashboard updates automatically—but there may be a short delay (usually a few minutes) before the latest submissions appear. If a teacher reports they've finished but the dashboard hasn't updated yet, wait a few minutes and refresh the page.

Teachers who have left or been reassigned

If a teacher has left your district or been reassigned to a different class mid-screening window, you may see them listed with pending status even though they can't or shouldn't complete screenings. To remove them from the list:

  • Update your roster to remove the teacher or reassign their students to the new teacher
  • Upload the updated roster
  • The dashboard will reflect the changes once the new roster is processed

Why complete data matters

Screening data is only as useful as it is complete. Incomplete screenings can skew results and lead to wrong conclusions about student needs. Aim for 100% completion before analyzing or sharing results.

Check the status dashboard regularly during screening windows, especially during the first week and last week. Regular monitoring helps you catch issues early and send timely reminders to teachers who haven't started.

If you see low completion rates, consider sending a friendly reminder email to teachers, highlighting the importance of timely screening and providing a link to the screening form.
