Roster Uploader

Overview

The roster uploader lets district administrators upload student roster files for screening cycles. Rosters determine which students appear in teacher screenings and how students are assigned to classrooms and teachers.

When to Use the Roster Uploader

Upload a roster before each screening window (Fall, Winter, Spring) to ensure student assignments are accurate. You should also upload an updated roster if:

  • Students have changed classrooms or teachers mid-year
  • New students have enrolled and need to be added to screenings
  • Students have transferred to different schools within your district

File Format Requirements

Roster files are typically uploaded as Excel (.xlsx) or CSV files. Your file should include required fields such as:

  • Student ID
  • Student name
  • School
  • Grade
  • Teacher name
  • Classroom assignment

Exact file format requirements may vary by district. Contact your Standard Education representative for the roster template specific to your district.

Upload Process

  1. Navigate to the roster upload area in the Administration section
  2. Select your roster file from your computer
  3. Map the columns in your file to the expected fields in Standard Education
  4. Review the preview to verify students and assignments are correct
  5. Confirm the upload to process the roster

What Happens After Upload

After you upload a roster, the system will:

  1. Validate the file format and required fields
  2. Process the student records
  3. Assign students to their teachers for the upcoming screening

Your teachers will then see the correct students in their screening list.

Uploading a new roster replaces the previous one for that screening cycle. Make sure your file includes all students, not just changes. If you only upload students who changed classrooms, others will be removed.

Troubleshooting: Missing Students

If a student is missing from a screening, the most common cause is that they weren't included in the uploaded roster. Check your roster file to verify the student is listed with the correct:

  • Student ID
  • Name
  • School
  • Grade
  • Teacher assignment
  • Classroom assignment

If the student is in the file, contact your Standard Education representative for help troubleshooting the upload.
